How to Ship a Copier Machine Safely: Complete Guide

February 23, 2026 · Copier Lease Returns

Everything you need to know about shipping a copier machine safely — packaging, choosing the right carrier, and what to expect from the process.

How to Ship a Copier Machine Safely

Shipping a copier machine isn't like shipping a box of books. These are complex, precision instruments with sensitive internal components — drum units, fuser assemblies, toner cartridges, paper transport mechanisms — that can be damaged by rough handling, vibration, improper positioning, or moisture exposure.

This guide walks you through everything you need to know to ship a copier safely.

Step 1: Prepare the Copier Before Shipping

Power Down Properly

Let the machine cool completely (at least 30 minutes) before packing. Fuser assemblies can reach 400°F.

Lock the Drum

Most copiers have a drum transport lock. Consult your machine's service manual. Failure to do this is one of the most common causes of drum damage during transport.

Secure the Toner Cartridges

Remove toner cartridges and seal them in zip-lock bags. Toner leakage during shipping is expensive to fix.

Remove Paper and Secure All Doors

Remove all paper from trays. Use foam padding to hold doors closed — not packing tape directly on the surface.

Photograph the Machine

Take timestamped photos of all sides before packing. This protects you if there's a damage dispute.

Step 2: Package the Copier Properly

Use original packaging if available. If not:

1. Wrap the entire machine in anti-static bubble wrap (2–3 layers) 2. Apply edge and corner protectors 3. Place on a sturdy wooden pallet 4. Surround with high-density foam on all six sides (minimum 3 inches) 5. Build a custom wooden crate for high-value or long-distance shipments 6. Shrink-wrap or strap the machine to the pallet

Step 3: Choose the Right Shipping Method

Standard LTL Freight — Most affordable. Best for lower-value, shorter-distance shipments.

Dedicated Copier Shipping Service — Specialized carriers like ClearPath Logistics have trained crews and copier-specific packaging with significantly lower damage rates.

White Glove Delivery — Includes professional deinstallation, custom crating, inside delivery, and installation. Best for new/high-value machines.

Step 4: Track and Document

  • • Get a tracking number and bill of lading before the carrier leaves
  • • Track the shipment actively
  • • Inspect packaging for damage before signing at delivery
  • • Photograph any damage within 24 hours
  • Common Mistakes to Avoid

  • • Not locking the drum → most common cause of damage
  • • Using packing tape directly on the machine → damages finish
  • • Placing the copier on its side → never do this
  • • Not declaring full replacement value → leaves you underinsured
